Privacy notice
What we collect when you use this site, why we collect it, how long we keep it and what you can ask us to do about it.
1. Who we are
Auto Import GH sells and imports vehicles in Ghana. In this notice “we”, “us” and “our” mean Auto Import GH, Accra, Greater Accra, Ghana. We are the data controller for the personal data described here — the organisation that decides why and how it is used.
- Email: [email protected] (general) and [email protected] (sales and WhatsApp follow-up)
- Telephone and WhatsApp: +233 20 528 8750 · +233 55 812 3021
- Company registration number: to be added once the certificate is issued
- Data Protection Commission registration number: application in progress
2. The law we follow
We handle personal data under the Data Protection Act, 2012 (Act 843) and the instructions of Ghana’s Data Protection Commission (DPC). Act 843 requires us to collect only what we need, to be open about why we hold it, to keep it accurate and secure, and to answer your requests. The detail of how we do that is on our data protection page.
3. What we collect
| When | What we collect | Why |
|---|---|---|
| You send an enquiry or a car request | Name, phone or WhatsApp number, email address, the vehicle or budget you asked about, anything you write in the message, and any photo you choose to upload | To answer you and, if you go ahead, to source the vehicle |
| You create an account | Name, email address, password (stored only as a one-way hash by our authentication provider), country, optional phone number, your marketing choice, the vehicles you save, and a record of which policy version you accepted and when | To run your account and keep proof that you agreed to our terms |
| You browse the site | Page address, stock reference of the vehicle you looked at, device type, browser, operating system, referring site and campaign tags, approximate city and country from your network address, how long you stayed, and whether the visit led to an enquiry | To understand which vehicles and pages are useful, and to spot abuse of the forms |
| You contact us | Your messages, and notes our team makes about the conversation | To keep a record of what was agreed |
4. What we deliberately do not keep
- No raw IP addresses in the visitor log. We store a salted hash of your network address and browser signature, which lets us count returning visitors without holding the address itself.
- No card numbers. This site cannot take a payment. We never ask for card details, mobile-money details or crypto transfers through the website.
- No advertising or cross-site tracking cookies. See the cookie notice.
- Nothing about your health, religion, politics, ethnicity or other special-category data. Please do not send it to us.
5. Why we are allowed to use it
Under Act 843 we rely on:
- Your consent — for the account, for marketing email (only if you tick the box), and for the visitor measurement described above.
- Steps needed to answer your enquiry or perform an agreement — sourcing a vehicle, quoting, clearing, delivering.
- Our legitimate interest in running a business — keeping the site working, preventing fraud and abuse of the forms, and improving which pages we publish.
- A legal obligation — for example keeping commercial records, or responding to a lawful request from a public authority.
6. Who we share it with
We do not sell personal data. We share it only with:
- Suppliers and clearing partners — when a quote or a shipment needs the details. Only what is needed for that job.
- Our service providers — website hosting and delivery, the database and authentication provider, and the email provider that sends verification and reset links. They act on our instructions.
- Professional advisers — lawyers or accountants, where a matter requires it.
- Public authorities — where the law requires us to respond.
7. Sending data outside Ghana
Our hosting and database providers store data in data centres outside Ghana (principally the European Union and the United States). Act 843 permits this where the recipient is bound to protect the data to a comparable standard. We use providers that publish their security and data-processing commitments, and we keep our own copies of enquiries in Ghana.
8. How long we keep it
| Record | Kept for |
|---|---|
| Enquiries and car requests that did not lead to a sale | 3 years from the last contact, then deleted |
| Records of a completed sale or import | 6 years, to meet accounting and warranty needs |
| Account details and saved vehicles | Until you delete the account, then removed within 30 days |
| Visitor measurement (hashed, no IP) | 90 days, then deleted automatically |
| Staff audit trail of changes | 2 years |
| Proof of the policy version you accepted | As long as we hold an account or agreement with you |
9. Your rights
Under Act 843 you may ask us to:
- tell you what personal data we hold about you and give you a copy;
- correct anything that is wrong or out of date;
- delete data we no longer have a reason to keep;
- stop using your data for marketing, or withdraw consent you gave earlier;
- object to a particular use, and be told our reasons if we refuse.
Email [email protected] with “Privacy request” in the subject line. We answer within 30 days and may ask you to confirm your identity first, so that we do not hand your data to someone else. Asking costs nothing.
10. If you are not satisfied
Tell us first — most things are sorted out quickly. If we cannot resolve it, you may complain to the Data Protection Commission of Ghana (the body that supervises Act 843), whose contact details are published at dataprotection.org.gh.
11. Children
Accounts and vehicle enquiries are for people aged 18 and over. We do not knowingly hold data about children. If you believe a child has sent us data, contact us and we will delete it.
12. Changes to this notice
When we change how we handle data we update this page and change the version line at the top. If the change is significant we will tell account holders by email before it takes effect.
